Why are charges applied for more seats than the number of active users?

Billing may show charges for more seats than the number of active users on the team because users remove seats from team members but do not update the seat count in the subscription settings.

Answer

This is intentional behavior: the system charges based on the number of seats paid for, not the number of active users. Therefore, if the seat count is not adjusted accordingly, users will continue to be billed for the number of seats purchased.

The following steps explain how to check and correct this:

  1. Navigate to Subscription & billing in the account settings

  2. Click Manage billing

  3. Click Edit beside the Plan details

  4. Select Update number of seats or change your plan

  5. Adjust the seat count to match the actual number of users

Additionally, if you do not wish for seats to be added automatically, verify that auto approval seat assignment is not enabled, which could automatically assign seats to new users:

  1. Navigate to the team management page

  2. Select the gear icon on the right

  3. Choose manual approval to prevent automatic seat assignments

When the seat count is reduced, the system automatically calculates a prorated credit for the difference, which will be applied to the account.
